How to Write a Good Public Relations Proposal Template – Before start writing your proposal, ask your potential client to ensure whether or not he needs your help. It would be a waste of time to plan a PR proposal when you are not even sure if the client wants to work with you. Once you are sure about this, here are some steps to do to finish your proposal.
Defining Goals and Objectives
Both the goals and objectives of your proposal must be suited to the client’s needs. That is why discussing with the client first before writing a proposal is very important. The meeting will help you find out what the client wants based on the problems he is facing. After collecting some information by discussing and asking some questions, then you can easily define your goals and objectives based on your client’s problems.
The goals are general purposes such as increasing profits or customers while the objectives are more specific such as using social media to attract new customers. The objectives are defined from the goals and they will be the ones used to measure the success of your solutions and provide benefits the client will achieve.
Analyzing the Client’s Situation
Since you are trying to help your client in building a good relationship with the public, then you may need to first describe the current situation of why your client needs your help. Depending on the subject of the PR; it can be a product or service, you should analyze how the customers respond to it. If the response is not good, which may be a reason why your client needs help from someone like you, then explain why it doesn’t end up good among the customers.
If necessary you can analyze the competitors as well to reveal their strengths in attracting the customers. Follow this information with the weaknesses of the service or product from your client to be compared with the competitors so there will be a defined problem that must be solved with the right solution.
Targeting the Audience
Decide who the audience to reach specifically in detail to let the client know who you are trying to attract. It can include sex, habits, age, and anything that connects the customer with the PR’s subject.
Choosing Media
Depending on the targeted audience, choose what media you are going to use for the PR. There are many types of media available and you can list the ones you think are the most useful and effective based on the goals and objectives.
Planning a Concept
This is one of the main points of a PR proposal as the client will need to know what concept you are bringing to him to solve the solutions. This part is simple. Create an interesting and excellent concept to address the needs of your client and how it will be used, or maintain the existing concept from the client’s company with your ideas. Either way, the key is the same: explaining your ideas, whether for helping or maintaining clearly.
However, just because your client already had a concept doesn’t mean you can just go with it. Show your creativity by renewing the ideas if necessary to make them more effective without changing them fully.
Thinking the Strategies
While you have planned the concept or ideas, you need to execute them with the right strategies and list of all them if you have more than one. These two things are connected as the ideas should be supported to be realized.
Creating a Timeline
Decide when the PR will start and stop with a timeline consisting of some set dates to perform the strategies. You can provide this information more easily to let the client easily check-in what dates the strategies will be performed.
Providing Budget Information
First, decide what budget type you want to use. You can set the price for each strategy offered or simply use a flat fee with the total cost of the whole service provided. It all depends on your business. However, if the price is tagged per strategy, you may need a table to list all of them and make it more detailed.
Deciding the Measurements
The success of your proposal should be measured and you need to let the client know how to do it. There should be some results based on the objectives of the PR to allow you to measure whether or not the plan is successful. If it is a success or failure, preparing the best way to address it is very important. The date of the assessment should be decided as well for easy evaluation.
Keep your proposal simple and detail is necessary. You want it to be easy to understand by the client without him doesn’t have to list some questions in their mind about what is written in the document. This may be not easy, but with careful planning and draft, your proposal can end up properly.
